When you sign in with Google, we receive the following information from your Google account:

Email address
Name
Profile picture (if available)
Google Account ID

When you use the Documentation Portal, we also collect:

Google File ID and file name of documents you select via Google Picker
Document metadata (title, mime type)
Any notes or review comments you or staff members add

2. How We Use Your Information

We use the collected information solely for the following purposes:

To authenticate you as a staff member or applicant
To enable you to submit and manage documentation through the staff portal
To export selected Google Docs, Sheets, Slides, or PDFs into clean private PDFs for internal use
To display and organize documentation for authorized staff and public users (as configured)
To communicate with you regarding your submissions (via email if needed)

3. Google OAuth & Drive Access

Our app requests the following Google permissions:

openid, email, profile – For secure login
drive.readonly – To read files you select via Google Picker
documents.readonly – To properly export Google Docs
drive.file – To access files you explicitly choose

We only access files you specifically select. We never scan or access your entire Google Drive.

4. Data Storage and Security

All data is stored securely on our private server:

Google user information is stored in our database
Exported PDFs are saved in a private, non-public directory
Access is restricted to authorized staff only
We use industry-standard security practices

5. Data Sharing

We do not sell, rent, or share your personal information with third parties except:

As required by law
With trusted staff members who need access to perform their duties

6. Your Rights

You may request to view, correct, or delete your personal data at any time by contacting us. Staff accounts can also be deactivated by an owner.

7. Data Retention

We retain your information only as long as necessary for the purposes described or as required by law. You may request deletion of your data.
